Renewal: talk before it expires
A membership raised on the day it expires becomes a decision under pressure — and a decision under pressure is usually “I’ll take a break”. Renewal communication starts weeks earlier, inside the gym, while the member is still attending.

Why the longer plan is better for both sides
For the gym it is predictable revenue and less churn. For the member it is commitment — and commitment is exactly what the person who quits in March is missing. The sales argument should not be only the discount: it is committing to their own result.
What to communicate on screen about plans
- The monthly cost of the long plan compared with paying month to month
- What is included beyond access (assessment, classes, app)
- Clear payment terms
- The deadline of the offer, if there is one
- A call to speak to reception — not an action impossible to complete on the spot

Is discounting the best way to retain?+
It is the most expensive and least durable. A member who stays for price leaves when a lower price appears. Bond, progress and community hold better and do not erode margin.
How do I approach someone who has disappeared without sounding like debt collection?+
By talking about the member, not the contract: ask how they are, offer a programme review or a session with a coach. A message about an overdue payment has the opposite effect.
Is a taster class worth offering to existing members?+
Very much. A weights member who tries a group class gains a second reason to come — and someone with two reasons churns less.
Which indicator should I track?+
Average attendance per member and renewal rate. Revenue hides churn: you can have a strong January and be losing your base at the same time.
